5 Top Benefits of Conducting a Quarterly Review and Planning Session
A Quarterly Business Review and Planning Session looks at key business indicators from a variety of perspectives. It looks at your financials, business goals, career goals, operations, marketing success, and client relationships. There are many benefits to conducting Quarterly Reviews internally (your financials, operations, employee feedback, marketing review etc.) and outwardly with your clients. Here are five top benefits.
- It will help you “connect the dots” between your operational activities and the financial success of your horse business. One key bridge that most horse professionals need to build is one that helps them to know what their business “looks like” both operationally (at the barn) and financially (at your desk) when it is succeeding. This bridge will help you identify your ideal clients (scope), and your ideal business size (scale) for optimal profitability and career objectives. In last week's tip we covered some bookkeeping strategies that help to support this connection. Check out that tip here.
- It will help you identify whether the shared goals between your horse business and your clients are being achieved. Shared goals are powerful motivators for both parties. Understanding the connection between the success of your clients and the success of your business is critical. The right quarterly review process helps you connect essential KPIs (Key Performance Indicators) of both the business and the client. When these are in alignment, there is more passion and less friction or confusion.
- It will help you to identify trends both inside and around your horse business. This improves decision-making by helping you anticipate changes, and identify opportunities for innovation and growth.
- It will help you quantify the results of your marketing. Marketing is everything you do to promote your business. For horse professionals it includes their digital marketing activities, their day-to-day contact with clients, the progression of horses and riders. Plus, for many horse professionals - competition results.
- It will help you build more meaningful client relationships. Connecting with your clients on a quarterly basis is a great way to review how well you are contributing to their success. It keeps the benefits of being at your barn front of mind with your clientele and keeps you both in touch with any changes, challenges or miscommunication that could be standing in the way of a more satisfying customer-to-barn relationship. This in turn helps you build and support an elevated barn culture.
Further, client meetings that re-visit goals and incorporate KPI's help to provide clarity around roles and goals. In other words, these meetings should increase both parties understanding of what goals have been achieved, what new goals should be set and the roles and responsibilities of each party in supporting these achievements.
For example: If a client wants to bump up a division. Your role as coach is to provide a training schedule that supports that goal. Your responsibility is to show up for lessons and train towards the goal. However, if your client doesn't understand that they too have a role as a coachable student, and a responsibility to show up for the lessons, conflict can arise, and goals may not be achieved. Confusion around roles and goals is an underestimated relationship (and business) killer that is worth addressing.
In closing, quarterly reviews are a super way to make your horse business easier and more profitable to run, reduce tasks that don't produce results, boost your client relationships, adjust your marketing plan, and align your focus on the things that will make the biggest difference in your success in the next quarter!
